Unable to Open Excel and Word Files on Desktop

Overview

Users may experience difficulty opening Excel and Word documents directly from File Explorer or OneDrive. Files may only open when accessed through the web and downloaded first. This issue typically occurs due to corrupted Office installation or misconfigured file associations.

Symptoms

  • Cannot open Excel or Word files from File Explorer or OneDrive.
  • Files open only after downloading from SharePoint or web browser.
  • Issue affects all Office files (Excel, Word).
  • Other users are not experiencing the same problem.

Cause

  • Corrupted Office installation or registry entries.
  • File associations for Office applications may be broken.
  • Possible caching issues after updates or sync errors with OneDrive.

Resolution

Step 1: Perform Online Repair of Office

  • Open Control Panel → Programs and Features.
  • Select Microsoft OfficeChangeOnline Repair.
  • Wait for the repair process to complete.
  • Test opening files.

Step 2: Reinstall Office Applications

  • If the issue persists:
    • Uninstall Microsoft Office completely.
    • Download the latest version from portal.office.com.
    • Install and sign in with company credentials.

Step 3: Verify File Associations

  • Go to Settings → Apps → Default Apps.
  • Ensure Excel is set to open .xlsx files and Word is set to open .docx files.

Step 4: Test Access from File Explorer and OneDrive

  • Open files directly from File Explorer and OneDrive sync folder.
  • Confirm that files open without requiring download from the web.

Additional Notes

  • Reinstalling Office does not delete files; everything remains intact.
  • If the issue persists, check OneDrive sync status and ensure the user is signed in.
  • For remote troubleshooting, confirm the user has a microphone or arrange a phone call.
