The issue with the missing Outlook tasks was not caused by accidental deletion or a syncing problem.
We first checked the Deleted Items folder, since Outlook tasks are stored as email items and are identified by a clipboard icon. The tasks were not found there.
We then compared the tasks in both the Outlook desktop app and Outlook on the web to confirm they matched and to rule out any syncing issues. The tasks were missing in both applications.
After further review, we determined that the tasks were automatically removed due to the 4‑year email retention policy. These tasks were created more than four years ago and had expired, which caused them to be automatically deleted by the system.
Because the items expired under the retention policy, they did not appear in the regular Deleted Items folder. Instead, they were found in “Recover items recently removed from this folder” within deleted items folder. The tasks were listed based on their original creation date, which placed them near the bottom of the list rather than at the top.
We were able to recover a task from “Recover items recently removed from this folder,” and once restored, it appeared back in the Deleted Items folder. The task was not at the top of the list but was located based on when it was originally created.
