Users may report that when they download and open a calendar invite (.ics file), the event appears in the classic Outlook application but does not show in New Outlook or shared calendars such as SharePoint.
This behavior occurs because .ics files are typically associated with the classic Outlook desktop application. When opened:
The file launches in classic Outlook
The event may be saved locally or in a non-synced calendar store
New Outlook only displays events that exist in the user's Exchange/365 mailbox
As a result, the event does not sync to New Outlook or SharePoint.
Use one of the following methods to ensure the event is added to the correct mailbox calendar.
Open New Outlook
Navigate to the Calendar view
Click Add Calendar
Select Upload from file
Choose the downloaded .ics file
This ensures the event is added directly to the user's mailbox and will sync across all platforms.
If the event was already opened in classic Outlook:
Open the event in classic Outlook
Click Forward
Send the invite to your own email address
Open the email in New Outlook
Click Accept on the invite
This method reintroduces the event into the mailbox calendar.
Users may believe events were successfully added, but they are not visible across devices or shared calendars, leading to missed meetings or confusion.
Encourage users to:
Avoid double-clicking downloaded .ics files
Always import calendar files directly into New Outlook
